Minutes
1. Opening Remarks
- President outlined all the issues that were being tackled and outlined the timetable to which the Committee were working particularly in the Yard.
2. Approval of Previous Minutes
- The minutes of the previous meeting have been approved.
3. Decision on Tenders
- The President explained the work that had been done by the Finance Committee in analysing the tenders and went through each tender in turn. The decision on each successful tenderer was taken unanimously.
- Administrator Tender. These were analysed and it was felt that due to the fact that the differences were negligible, the existing tenderer JT Security would be maintained.
- Cleaning Contract. It was felt that although there was very little difference in the bids, ABC Limited had done a much more thorough work and the Contract would be offered to them although it might be necessary to curtail the hours.
- Security Contract. After considering all the tenders, it was felt that the OSG tender far outweighed the others sand as such would be the successful tenderer. Discussions would ensue to determine the number of cameras to be monitored and the patrols etc.
- Marine Operative Tender. After much discussion, it was felt that Complete Yacht Care were the successful tenderers.
4. Pier Master Vacancy
- The Board comprising of the Chairman, the yard Committee rep and the Acting Captain, interviewed the four candidates that had been shortlisted and unanimously agreed that they would recommend Mr. Richard Webber to the post. The Committee discussed this and unanimously agreed with the Board.
5. Weight Test for Loose Block
- Belilo’s were submitting the works schedule to be able to repair this.
- GJBS has already agreed to programme the works.
6. Engineering Report for Nissen Huts
- The engineering repair which was agreed at a cost of £47,900 was awaiting approval by the Planning Department of the Government.
7. New Finger Pontoon
- The second quote obtained by Mr. Sene was similar to the agreed cost of £23,000. It was agreed to contract the finger pontoon at that price but we would await until the end of August to identify whether the third quote would materialise.
8. Focus Camera Maintenance.
- Focus had produced various Maintenance agreement possibilities and the Committee decided to go for the £540 per month option although finished installing cameras and linking systems.
9. Balban Electrical Maintenance.
10. Approval of Wicker Door Entry system
- The President had met with Balban Electricals and had asked for a quote to be able to have the same entry system using the same cards as at present used for the Marina. The quote had been received being £2737 plus £1000 for PC and monitor. This was approved by the Committee.
11. Legal Representation by Attias and Levy
- The President introduced a contract with Attias & Levy for the legal representation/Consultancy. The Committee felt that given the different decisions that the Committee was taking, some kind of legal consultancy would be beneficial. At £100 per quarter plus the Director’s and Officers policy already entered into, the Committee would now take decisions safely. Approval to enter into the Legal representation was given unanimously.
12. Approval of WIFI/Internet Facilities
- The President re-introduced the contracting of internet facilities for the whole Marina paying particular emphasis on the ability of the marina to sell Internet time/Wifi Facilities to visiting yachts. The Committee understood the benefits of this and approved the expenditure expected to be some £2500 for this purpose.
13. Purchase of Extra Boat Trolleys
- The Yard rep advised that the existing trolleys were unsuitable to carry the larger and heavier boats. Although it was unknown at this stage up to what size the purchased trolleys could move, it was felt that new Trolleys to take the bigger boats be bought ASAP at a cost of some £21,000.
Any Other Business (AOB)
- The treasurer had finished and presented the report on the expenditure for the yard for the initial months up to the new Committee taking over. Attached to this report, is the letter of the action that the Committee will take Tis would be followed up at the next meeting.
